Why use Virtual
Mail Room?
Cost saving
By using VMR's outsourced service substantial cost savings
are made. These come in two forms. Firstly, the direct
cost saving through the elimination of print, paper
and postage costs. These represent a saving of approximately
50 per cent of normal direct costs. Secondly, the hidden
costs of departmental disruption, loss of staff time
and reduced cash flow due to slow delivery of invoices,
statements etc.
Speed of delivery
In transmitting the data to VMR as soon as it is ready,
the client benefits from the almost immediate delivery
of documentation to the receiver. This ensures that
invoices, etc., are with the recipient perhaps two or
three days earlier than would normally be the case.
Avoid disruption
In any accounting function there are a number of highly
trained and expensive personnel. At certain intervals
in a month important work processes are interrupted
by the need to dispatch accounting documentation. This
is a distraction from more important duties such as
credit control, normal data processing and proper customer
service. VMR's offering eliminates the disruptions entirely.
Audit trail
VMR's service provides a detailed audit trail for every
document. This is seen as a critical benefit of VMR's
offering and is a major enhancement upon normal in house
mailrooms' service levels. At any time you can know
what's going on.
CRM (Customer Relationship
Management)
Perhaps for the first time our clients are offered delivery
in the format and method that they need. The benefits
of this feature are great, in as much as they can import
and manipulate data into their systems, reconcile accounts
that were previously difficult to reconcile and many
other advantages.
Established benefits
of Business Process Outsourcing
The benefits and advantages of outsourcing are well
established. VMR's service is a classic example of business
process outsourcing at its best. Naturally, Service
Level Agreements are put in place at the start of every
contract to ensure that expectations from both sides
are met.
Environmental Issues
More and more companies are devoting time and effort
to implementing environmentally friendly solutions to
their business processes. Indeed there are an increasing
number of Blue Chip companies that are publicly committed
to meeting ambitious targets in this respect. A Sunday
Times article (14 March 2004), partnered with the DTI,
sets out an index of those companies which set great
store by such initiatives.
Security
Data protection and systems security demand ever-increasing
vigilance. VMR has operated in this climate for many
years and has systems in place to ensure that all regulation
is complied with and that the integrity of its service
is robust. Measures include, but are not restricted
to, building security, restricted access to nominated
personnel for both computer data and office facilities,
entry alarms, fire alarms, 'remote alerts' and remote
diagnostic and fix and personnel vetting.
