Financial Company
A well known company has a large volume run at the end
of each month - in excess of 60,000 statements, some
of which are up to 30 pages long. Until this work was
transferred to VMR the company was obliged to devote
3-4 days of their accounting staff time to handle the
print and dispatch of the statements. The work was labour
intensive, with considerable cost associated with the
production and dispatch.
Now the company simply downloads the
output from their accounts' software by file transfer
and, once received, VMR process the file and produces
the statements in both electronic and print forms.
The electronic statements are routed
through VMR's in-house email/fax systems and the remaining
printed statements produced, inserted and mailed.
Each printed statement is barcoded and
so a full audit trail is available for tracking every
document separately. The receiver's records are tagged
as to whether they prefer delivery by email, fax or
post. In the event that a delivery fails, (eg an incorrect
email address), VMR's systems automatically selects
the second choice method of delivery.
The procedure includes "intelligent"
documentation dispatch. For example, if the statement
for a number of branches needs to be consolidated and
sent to the Head Office, VMR treats them accordingly.
Another example is the situation where a statement is
too long one month to be sent by fax; the system automatically
chooses the most appropriate alternative.
The result of using VMR is that the client
has freed up a considerable amount of staff time and
processes its business more efficiently. In terms of
cost it estimates to have saved £72,000 pa on production
and £50,000 pa on staff time.
Industrial Conglomerate
An industrial conglomerate uses VMR to process and deliver
a range of accounting documentation electronically.
These include remittance advices, chaser letters and
monthly statements. VMR deals with multiple divisions
in different countries, with multiple users in each
division. The requirements from each division vary considerably
from only 2-3 documents to 5000 or more. The system
is used on demand several times a day as needed.
