Firstly, although a little belatedly, I hope you had a fabulous festive break and are refreshed and ready for an even more fabulous 2020. I don’t usually bother with New Year’s resolutions but if you do, I hope they’re going well and delivering the expected benefits. If you’re struggling with them, I totally empathise!

January to April is a particularly busy time of year for us. For our local authority clients, we’ve already started the countdown to Annual Billing which will keep us all extremely busy from the end of January until the end of March, and for other clients we’re entering Annual Statements season. Our aim, as always is to make these events as efficient, cost effective and pain free as possible for everyone involved.

It’s been a while since our last update so we have a few things to tell you. I hope it’s of interest and if you have any questions, please do contact me.

Recent Developments at VMR

Digital Archive

As you will know if you read our last Newsletter, we already offer a function through the client portal which allows you to search for and find details of documents we’ve processed and sent on your behalf and we hope you’ve found this a useful addition. But, we are never content to rest on our laurels but are constantly striving to improve the services available to you. The next step therefore was to provide you with a digital archive which takes the document search service to the next level. For those clients who opt in, you can now not only find a list of the documents produced, you can also access the documents in PDF format. You can then:

  • Download the document
  • Print locally
  • Download and upload to our hybrid mail portal to resend
  • Deal with customer queries in real time and see what they’re seeing

This service will prove invaluable for complaints handling in the event that customers state they haven’t received documents but also if you find yourselves having to fight any legal cases. Did you know?

VMR has been appointed to CCS Framework RM6107

Virtual Mail Room is proud to announce that we have been appointed to the new Crown Commercial Service Framework RM6017 Postal Goods and Services Solutions for Lot 7 – Hybrid Mail, Digital and Transformational Communications. The Framework is designed to make the procurement process simpler, quicker and more cost effective and will provide customers with a one-stop shop for all postal goods services and solutions. It is available for use nationally by any public sector body in the UK.

Business Continuity and Disaster Recovery

We know that having options when it comes to business critical communications is essential for your organisation. Any incidents or issues that impact your ability to communicate with your customers can have serious consequences for your business and for ours. It is for this reason that VMR has made significant investment in creating a production model that has Business Continuity built in as a standard feature.

Our print and mail production capability has been developed to allow us to use 4 physically disparate production sites with 3 located in the UK and one in the USA (for those who might need it). The VMR concept is to produce print and mail ready files that can be sent ‘at the click of a button’ to any of the sites all of which produce to the same high level of print quality and 100% mail-piece integrity.

Each of our production sites has extensive capacity and a full range of capability in terms of printing and enclosing. Each offers mono and colour printing, both continuous and cut sheet together with the full range of enclosing options. We have the capability to run up to 10 intelligently selectable inserts per mailing.
